HOW TO BOOK YOUR HOTEL
All hotel reservations for the Annual Conference & Exchange must be made through the official housing bureau, Key Bookings. This ensures a successful attendee experience and protects the integrity of the official conference hotel block. Reservations are available on a first-come, first-served, space-available basis.
If your preferred nights are unavailable, you require multiple reservations, or you experience issues accessing the booking website, please contact Key Bookings for assistance.

Booking Deadline & Availability
Discounted conference rates are available through September 1, 2026, or until hotel inventory is exhausted.
Hotel blocks may sell out before the published cutoff date. Once a hotel reaches capacity, room availability and conference rates can no longer be guaranteed.
After September 1, 2026:
- Rooms and rates are subject to availability.
- Preferred room types may become unavailable.
- Hotels may charge prevailing rates.
Attendees are encouraged to book early.
Reservation Confirmations
After booking through the housing bureau, attendees will receive a Housing Reference ID Number. This number is issued by Key Bookings and is not the hotel confirmation number.
Approximately thirty (30) days prior to the conference, Key Bookings will transfer rooming lists to the hotels. Final hotel confirmation numbers will then be issued directly by the hotel properties.
A valid credit card is required to guarantee all reservations and may be charged by the hotel in accordance with the property's policies.
Cancellation Policy
Reservations may be modified or canceled through Key Bookings prior to September 1, 2026, without penalty.
Cancellations received after September 1, 2026, may be subject to:
- A $100 administrative cancellation fee per reservation
- Hotel-imposed cancellation penalties
Reservations canceled within seventy-two (72) hours of arrival are subject to the policies of the individual hotel.
Failure to arrive on the scheduled arrival date without prior notice may result in no-show charges and cancellation of the remainder of the reservation.
Individual hotels may impose:
- Deposit forfeitures
- Early departure fees
- Destination fees
- Length-of-stay requirements
- Other property-specific charges
Questions regarding hotel-imposed fees, billing disputes, or individual hotel policies should be directed to the hotel property.
NMSDC and Key Bookings are not responsible for charges imposed directly by hotel properties.
Sub-Block Requests
Organizations requiring more than five (5) rooms must obtain approval from NMSDC before securing a sub-block.

Submission of a request does not guarantee approval or room inventory.
NMSDC reserves the right to reduce, reclaim or redistribute unused inventory to support overall conference demand.
Sub-block holders may not:
- Re-sell hotel rooms
- Publicly market room inventory outside approved conference channels
- Transfer reservations to outside organizations without written approval
- Hold speculative inventory
- Contract independently with official conference hotels without prior written approval from NMSDC
Late room releases, excessive cancellations, or misuse of inventory may result in cancellation fees, reduced allocations, or limitations on future housing participation.
Hotel Amenities & Services
Amenities, services, restaurants, lounges, fitness centers, pools, business centers, parking facilities, and other hotel offerings are determined solely by the individual properties and may change without notice.
NMSDC and Key Bookings do not guarantee the availability of any specific hotel amenity, service, or facility.
Attendees should contact the hotel directly with questions regarding property amenities, parking, accessibility, operating hours, or special accommodation.
Hotel Policies
Room assignments, bedding configurations, views, connecting rooms, and other special requests are based on availability at check-in and cannot be guaranteed by NMSDC or Key Bookings.
Hotels may authorize incidental holds on guest credit cards to cover parking, dining, room service, and other charges.
Attendees requiring ADA-accessible accommodations are encouraged to make requests as early as possible through the official housing process.
Hotel Maintenance &
Construction
Official conference hotels may conduct renovations, maintenance projects, or other improvements that are outside the control of NMSDC and Key Bookings.
Such activities may impact certain hotel facilities, services, or guest experiences.
NMSDC and Key Bookings are not responsible for inconvenience, noise, restricted access, temporary closures, or service disruptions resulting from hotel maintenance, renovations, or construction activities.
Questions regarding construction schedules, amenity availability, accessibility, special requests, or guest concerns should be directed to the hotel property directly.
No refunds, credits, room relocations, or compensation related to hotel maintenance, renovations, or construction activities will be provided by NMSDC or Key Bookings.
Hotel assignments and room inventory are subject to change based on availability and operational requirements.
Housing Pirates & Unauthorized Companies
NMSDC does not authorize outside companies to solicit hotel reservations on its behalf.
Please be aware of unauthorized third-party companies, commonly referred to as "housing pirates" or "housing poachers," that falsely claim to represent the conference.
Reservations made through unauthorized companies cannot be guaranteed and may result in:
- Invalid reservations
- Higher rates
- Hidden fees
- Non-refundable deposits
NMSDC and Key Bookings cannot assist with issues related to reservations made outside the official housing program.
If you receive unsolicited calls or emails regarding conference housing, do not provide personal or financial information. Please forward suspicious communications to the NMSDC Events Team.
Always book through the official NMSDC housing portal managed by Key Bookings.
Event Modifications
In the event of conference date changes, venue changes, cancellation, or circumstances beyond the control of NMSDC, hotel policies and cancellation terms established by the individual hotel properties will apply.
Policy Updates
NMSDC and Key Bookings reserve the right to modify hotel assignments, room inventory, and housing policies as necessary to support conference operations and the overall attendee experience.
Participation in the official housing program constitutes acceptance of these policies and procedures.
